Can you help reduce licensing costs?

Is end-user support included?
Depends on the engagement model. During discovery we'll review your requirements and recommend the most appropriate support arrangement.

Microsoft Licensing
Many organizations are paying for licenses they don't fully use, while others are missing features they need. Explore answers covering Microsoft 365 plans, CSP purchasing, renewals, subscription management, and licensing optimization.

What are the benefits of purchasing Microsoft licenses through a CSP instead of directly from Microsoft?
Purchase license through a Cloud Solution Provider (CSP) is generally cheaper than the retail price you purchase yourself from Microsoft. A CSP can help manage licensing, billing, renewals, and day-to-day subscription changes on your behalf. This often simplifies administration and gives you access to licensing guidance and support from a partner who understands your environment.
Can one user have multiple Microsoft licenses assigned?
Yes. Microsoft supports assigning multiple licenses to the same user when additional services or features are required. In fact, that is a common practice. Although organizations should review assignments carefully to avoid unnecessary overlap and cost.
What happens when my organization exceeds the 300-user limit for Business Licenses?
The 300-user limit applies to Microsoft 365 Business tier licenses. Once the limit is reached, additional users typically need a different eligible license, such as Microsoft 365 E3 or E5. Many growing organizations operate with a mix of Business and Enterprise licenses.
What happens if a Microsoft 365 subscription expires?
Users may eventually lose access to Microsoft 365 services such as Email, Teams and SharePoint/OneDrive, and features associated with that subscription. Microsoft provides grace periods and data retention periods, which services and data still can be accessible, but these are not intended as long-term solutions and should not be relied upon, different services have different grace periods. Renewing subscriptions promptly helps avoid service disruption.
Can I change license quantities before my subscription renewal?
Increasing the license quantity is always possible at any point.
Decreasing the license quantity is only possible at the end of the term. Monthly commitments have a monthly term, so you can decrease at the end of the month. Yearly commitments have a 1-year term, so you can decrease at the end of the year term. Multiple year commitments have multiple 1-year term, so you can decrease at the end of each 1-year term. Reviewing upcoming renewals in advance helps avoid unnecessary costs or licensing shortages.
Can I transfer my existing Microsoft 365 subscriptions to a CSP?
In many cases, yes. Organizations can often move their Microsoft 365 subscriptions to a CSP without affecting users, email, or data. The process and eligibility depend on the subscription type and term, so it is worth reviewing your current licensing before making a change.
Will users lose access to email and files if a license is removed?
Yes. Removing a license will affect access to services such as Emails, Teams, SharePoint/OneDrive, and other Microsoft 365 applications. The underlying data is not necessarily deleted immediately; it becomes subject to Microsoft data retention of grace periods. If the organization has Data Retention policies applied to the user, the policy will be respected, and the user data will be kept for the period of the policy intended. But users will no longer be able to access the services linked to that license, until a license is re-assigned to the user.
Reviewing and planning company data retention policies helps avoid legal and audit issues.
How often should Microsoft licensing be reviewed?
Most organizations should review their licensing at least once a year, and more frequently if they are hiring, restructuring, or adopting new Microsoft services. Regular reviews help identify unused licenses, missing features, and opportunities to reduce costs.
Can I mix monthly and annual Microsoft subscriptions?
Yes. Many organizations use a combination of monthly and annual subscriptions. Annual commitments typically offer lower pricing, while monthly licenses provide more flexibility for temporary staff, contractors, or changing business requirements.
Cybersecurity & Defender
Understand the controls and technologies that help protect modern environments. Topics include Microsoft Defender, Conditional Access, MFA, ransomware protection, identity security, compliance, and risk management.
Updated October 2026
What is passkey authentication?
A passkey is a passwordless sign-in method that uses a trusted device, such as a smartphone, security key, or biometric authentication. Instead of entering a password, users verify their identity using a fingerprint, facial recognition, PIN, or hardware key, helping reduce the risk of phishing and credential theft.
What is Conditional Access, and why is it important?
Conditional Access allows organizations to control when and how users can access applications and data. It helps reduce risk by enforcing policies such as MFA, device compliance requirements, location restrictions, and risk-based access controls.
Passkeys vs Traditional MFA: What's the difference?
Traditional MFA combines a password with a second verification factor, such as a code from an app or text message. Passkeys eliminate the password entirely and use cryptographic authentication tied to a trusted device. Because there is no password to steal or reuse, passkeys are generally more resistant to phishing and account compromise than traditional MFA.
Does Microsoft Defender for Endpoint replace traditional antivirus?
Yes. Defender for Endpoint includes next-generation antivirus, endpoint detection and response (EDR), threat intelligence, and advanced security capabilities beyond traditional antivirus protection.
What is the difference between Defender for Endpoint and Defender XDR?
Defender for Endpoint protects devices. Microsoft Defender XDR correlates security signals across endpoints, identities, email, cloud applications, and other Microsoft security products to improve threat detection and response.
How does CloudNow help manage Defender for Endpoint?
CloudNow helps deploy, configure, monitor, and continuously improve Defender security controls. We also assist with incident response, policy tuning, reporting, and security best practices.
How often should organizations perform a cybersecurity review?
Most organizations should review their security posture at least annually and whenever significant technology, business, or staffing changes occur. Regular reviews help identify gaps, verify existing controls, and address emerging risks before they become incidents.
Does Microsoft Defender protect against ransomware?
Yes, Microsoft Defender includes capabilities designed to detect, block, and respond to ransomware activity. While no security solution can guarantee complete protection, Defender helps reduce risk through threat detection, endpoint protection, and automated response features.
Is multi-factor authentication (MFA) still necessary if users have strong passwords?
Yes. Even strong passwords can be stolen through phishing, malware, or password reuse on compromised websites. MFA adds an additional layer of protection by requiring a second form of verification before access is granted.
What is Microsoft Defender for Business, and who is it designed for?
Microsoft Defender for Business is Microsoft's endpoint security solution designed for small and mid-sized organizations. It helps protect devices from malware, ransomware, and other cyber threats while providing security monitoring, threat detection, and response capabilities.
What are the most common cybersecurity risks for small and mid-sized businesses?
Common risks include phishing attacks, stolen credentials, ransomware, weak passwords, unpatched systems, and excessive user permissions. Many security incidents result from a combination of technical vulnerabilities and human error rather than a single security failure.
How can organizations improve cybersecurity without significantly increasing costs?
Many organizations can strengthen security by enabling MFA, improving identity controls, applying security updates, reviewing user permissions, and making better use of existing security features already included with Microsoft 365 subscriptions. Security improvements do not always require new products or significant spending.
